请老师写推荐信的邮件模板与沟通话术

申请香港授课型硕士（MPhil / PhD / Taught Master）几乎绕不开推荐信（Reference Letter / Letter of Recommendation）。但许多内地同学在迈出第一步时就卡住了：和老师不熟怎么办？邮件该怎么开头？要不要直接说”想请您写推荐信”？发了邮件之后多久没回算正常？

本文从邮件结构到分阶段话术，拆解一封”老师愿意接、写得顺手、按时交”的推荐信请求全流程，并提供可直接套用的中英文模板。

一、推荐信在香港申请中的位置

推荐信本质上是”第三方背书”：你夸自己不如老师夸你。一封内容空洞、只有赞美词的推荐信，对申请的帮助有限。

二、什么时间开始联系推荐人？

申请节点 推荐人沟通节奏
距离申请截止 6 个月以上 优先建立关系：多提问、参加 office hour、做项目
距离申请截止 3–6 个月 初步沟通意向，确认老师愿意写
距离申请截止 1–3 个月 正式邮件发送材料清单与 deadline

距离申请截止 3 天内 电话 / 微信 / 当面再次确认

提前 4–8 周发出正式邮件请求，是大多数老师接受的节奏。太早，老师记不清你；太晚，老师来不及写。

三、联系推荐人前的准备清单

正式发邮件之前，先把以下材料准备好，老师答应后可直接发给 ta：

  1. 个人简历（CV）：包含 GPA、研究经历、实习、竞赛、发表论文等
  2. 个人陈述（PS / SoP）初稿：让老师理解申请方向与亮点
  3. 成绩单扫描件：本科 + 研究生（如有）
  4. 目标院校与项目列表：学校、学院、专业名称、申请截止日期
  5. 推荐信提交方式说明：是网推（上传链接 / 推荐人邮箱）、还是纸推（密封信封 + 签名）

四、邮件结构：四段式

一封规范的推荐信请求邮件，应当包含以下四个部分：

第 1 段：问候 + 自报家门

说明你是谁、什么时间上过 ta 的什么课、成绩如何、现在在做什么。30 秒内让老师回忆起你是谁。

第 2 段：申请背景

说明你要申请的项目、方向、目标院校、为什么选这个方向。

第 3 段：请求与材料

明确提出请求（请老师写一封推荐信），说明提交方式、deadline、需要老师配合的事项。同时附上准备好的材料。

第 4 段：感谢 + 后续

表达感谢，并说明会再次确认 / 不会突然催稿。

适用场景：本科上过老师课、有一定印象、申请授课型硕士。

适用场景：跟随老师做过科研项目、发表过论文、申请研究型硕士 / 博士。

八、跟进与催促话术

老师事务繁忙，发邮件后 7–10 天 没回复属于常见节奏。建议的跟进策略：

第 1 次跟进（第 7–10 天）

“Dear Professor [Last Name], I am writing to follow up on my email sent on [Date] regarding a recommendation letter. I understand you are very busy; please let me know if you need any further information from my side. Many thanks.”

第 2 次跟进（第 14 天后）

“Dear Professor [Last Name], I hope you are doing well. As the application deadline is approaching on [Date], I wanted to kindly check whether you would still be available to provide a recommendation. If not, I will need to find another referee so that my application can proceed on time. Thank you very much for your consideration.”

临近截止（3 天内）

不要再发邮件。直接走线下渠道：课后当面请教、微信语音、办公室敲门、找教务老师转达。

禁忌：不要群发”催稿信”给所有推荐人；不要在没收到回复前直接替老师提交推荐信；不要请同学 / 朋友代替老师上传。

九、提交之后：礼貌致谢

推荐信上传成功后，一定要发一封感谢邮件，无论结果是否录取：

录取后可以再发一封结果通知，并附上一份小礼物（茶叶、文创、书籍等）。这不仅是礼貌，也是学术圈中维系”师生关系”的长期投资。

十、常见问题 Q&A

Q1：和老师不熟，能找老师写推荐信吗？ 可以，但要选择”接触过、有印象”的老师。上过 1 门课、做过 1 个项目、有 office hour 交流，都算”有交集”。完全不认识的老师不建议强求。

Q2：推荐人名气 vs 与推荐人熟识度，哪个更重要？ 录取委员会更看 推荐信内容质量 + 推荐人对你的具体评价。一位熟悉你、愿意花时间写满 1 页具体事例的普通老师，远比一位院士模板化的”该生优秀，建议录取”更有说服力。

Q3：推荐信应该由学生写好老师签字吗？ 学术界对此存在分歧。学术推荐信：强烈建议由推荐人亲自撰写。业界推荐信：在征得推荐人同意的前提下，草稿 + 修改 + 签字是常见做法。无论哪种方式，必须经过推荐人本人确认，不允许代签 / 代上传。

Q4：推荐信要不要强调 GPA？ 推荐信中提及 GPA 或排名是加分项（说明推荐人信任你的学术能力），但避免重复个人陈述中已有的信息。重点放在 学术能力、研究潜力、思维品质、与所申请项目的契合度。

Q5：推荐信提交后还能修改吗？ 视学校政策而定。多数学校允许推荐人在截止日期前重新上传；截止后一般无法修改。务必在截止前与推荐人确认终稿。

十一、写在最后

一封高质量的推荐信，本质上是 学生、推荐人、申请项目三方的协作产物。学生的工作是准备好材料、选对推荐人、把提纲梳理清楚；推荐人的工作是写出有血有肉的评价；申请项目的工作是认真阅读每一封推荐信。
